Choose CINC for a managed paid-lead conversion team that wants advertising, allocation and follow-up organized around one operation. Choose kvCORE, now BoldTrail, for brokerage contact ownership, conditional agent privacy and company/office/team governance.

Both choices require a written quote and a demo of your actual workflow. These are provisional editorial picks awaiting founder review, based on vendor documentation rather than hands-on testing. All linked primary sources were checked 2026-10-14.

BoldTrail retains kvCORE's CRM and IDX foundation with interface changes and broader modules, according to the vendor's April 2026 explanation. For each platform's wider feature record, see CINC and kvCORE.

Feature decisions that change the purchase

Managed acquisition or brokerage coordination?

CINC gets the first demo when a team wants a vendor to run advertising and put the resulting inquiries into its conversion workflow. Its product site describes running Google and Facebook advertising into a managed IDX website. Assign a follow-up owner. A team should resolve staffing and advertising budgets before signing.

BoldTrail gets the first demo when a broker needs company-generated business and agents' personal databases to coexist. Its documented ownership and administrative scopes address that specific problem. Recruiting and BackOffice belong to the broader platform, but their availability does not mean every front-office package includes them. Ask for a module-by-module proposal if replacing several brokerage systems.

Both route leads; test who receives the exceptions

Routing is a strength on both sides. CINC's routing documentation covers weighted round robin, monthly caps, availability, source and area criteria, overflow and reassignment. Those controls suit a team manager allocating paid opportunities among agents. Some settings express preferences rather than absolute restrictions, and Switchboard Sarah can override other criteria during its operating hours.

BoldTrail's routing overview documents company, office and team scopes, weighted rules, simultaneous distribution and acceptance timeouts. That structure supports a brokerage deciding which entity should receive a lead before deciding which agent works it.

Bring an after-hours inquiry and an unclaimed lead to each demo. Add an inside-sales handoff that crosses team boundaries. Ask the salesperson to show the resulting assignee and explain why competing rules lost priority. A list of routing features cannot answer that question.

Ownership, permissions and departure rights are different

BoldTrail offers the clearer documented model for separating personal and company contacts. Its ownership guide distinguishes the contact's owner from the agent assigned to work it. Its privacy guidance allows agent-owned contacts to be hidden from administrators only when the brokerage enables privacy and duplication. Company-assigned leads remain visible to relevant admins. Moving a contact into a pond can also change ownership.

CINC's permission controls let brokers govern reassignment, exports and visibility of other agents' notes. Team Leader access exposes all dashboard leads regardless of assignee. This supports centralized management; the reviewed documentation does not establish an equivalent agent-private arrangement.

Neither model guarantees a complete export on departure. Inside Real Estate's terms require retrieval requests within 30 days after termination, outstanding fees paid and retrieval restricted to data it defines as exportable. Costs may apply. Ask both vendors for a sample containing notes, activity and consent records, then put departure rights in writing. An export checkbox is an access permission, not a contractual portability promise.

IDX is shared; the website's job differs

Both platforms connect IDX search with CRM follow-up. CINC describes a hosted, managed consumer site designed to receive advertising traffic. BoldTrail markets configurable agent and company websites with behavioral tracking and package-dependent templates.

Choose around the site you need to operate. For a paid-lead funnel, show CINC how an inquiry reaches the agent. For a brokerage rollout, ask BoldTrail to demonstrate how company branding and individual agent sites work together in the configuration you are buying. Confirm the MLS feed first. Ask about approval requirements and associated charges with either vendor; an IDX feature listing cannot verify local coverage.

AI automation and paid services need separate line items

CINC's nurture offering presents conversational CINC AI with agent handoff and message history. The pricing page lists it as an optional add-on starting at $200/month, alongside a three-line dialer at $75/month. Those are individual published offers, not an all-in platform price.

BoldTrail BASE includes an AI-powered Smart CRM. Its Smart CRM page describes behavior-driven follow-up and a built-in dialer, but that does not establish that every conversational AI or concierge service is included. Ask each vendor to demonstrate human takeover, stop messages and activity logging for the exact service quoted. Compare the work being automated before comparing the AI labels.

A connector listing does not guarantee full synchronization

CINC's integration library identifies Follow Up Boss and several other CRM connections as API Nation-mediated. Zapier availability is limited to Ramp, Pro and Select. Do not assume Solo includes it.

BoldTrail's marketplace tour lists integration and service options whose availability depends on brokerage configuration and user role. Its routing guidance also links to Zapier help. Neither a marketplace listing nor an API establishes your desired two-way connection.

If keeping another CRM, test one contact through creation, reassignment and unsubscribe. Confirm which system owns the record, which fields transfer and who pays the connector bill. A second database can complicate permissions even when lead delivery works.

Pricing and total cost for one or five users

Neither vendor publishes enough information to calculate a defensible full total. CINC pricing and BoldTrail pricing, checked 2026-10-14, both direct buyers to sales.

  • Solo paying directly: CINC Solo covers one user. BoldTrail requires a quote for the BASE, PLUS or PRO configuration you need. The full total is quote-only for both.
  • Five-person team: CINC Pro supports up to 49 users; Ramp stops at four. Request a five-user BoldTrail quote in the package with your required modules. The full total is quote-only for both.

BoldTrail packages follow functionality rather than the CINC seat bands. BASE includes configurable IDX, Smart CRM, listing marketing, analytics and transaction-management integration. PLUS adds Present, ListingMachine and DesignCenter. PRO adds CoreHome, PRO website templates and PRO Desk. Transaction integration should not be treated as the entire BackOffice product.

For CINC, request the base fee, advertising spend and management charge, plus applicable setup, hosting and telecom fees. Show optional AI and dialer charges separately. Confirm licensing before budgeting. For five people, ask whether each add-on is account-wide or user-specific, then include an administrator or inside sales agent in the user-count discussion. The published prices provide no basis for multiplying either offer by five.

For BoldTrail, request implementation, MLS, marketing and selected marketplace charges alongside the subscription. Get the communications allowance schedule and quoted overage or AI-usage rates. Allowances vary by package and account size, so an all-in-one description should never become an unlimited-usage assumption. If your brokerage supplies BoldTrail, compare your incremental bill and entitlements before buying another platform independently.

Use identical workload assumptions in both proposals. Ask for launch cash due, recurring charges and the full initial-term commitment. No public evidence establishes a cheapest platform or a superior conversion rate.

Onboarding and contracts can outweigh a feature difference

Require implementation milestones before either launch. Import a small contact sample first. Verify ownership and duplicate handling, then test MLS search, lead delivery, routing and mobile follow-up. Assign an internal owner to sign off on those checks. No universal launch timeline was verified.

CINC's September 2026 terms put the initial term in the order form. Unless that form specifies a different arrangement, renewal defaults to month-to-month at the prevailing rate after the initial commitment ends. Cancellation timing still applies, and early termination can leave remaining contracted fees payable.

Inside Real Estate's standard terms provide 12-month renewals with 30 days' written notice. The signed agreement determines the initial commitment and can override standard provisions. Monthly billing does not make an initial contract month-to-month. Calendar the notice deadline and obtain cancellation acknowledgement in writing.

Verdict by use case

Choose CINC if

You want a managed paid-lead operation and will assign staff to conversion work. CINC is the provisional pick for that buyer, including a five-user team on Pro. Take the advertising plan, routing exceptions and add-on licensing into the demo before deciding whether the quote is affordable.

Choose BoldTrail if

You need company/office/team governance with explicit ownership rules for agents' personal contacts. BoldTrail is the provisional pick for that brokerage, provided its privacy settings and written exit rights meet your policy. It also deserves the first review when your brokerage already supplies access or you want broader modules under an itemized proposal.

Our recommendation

Shortlist CINC for managed acquisition and team conversion operations. Shortlist BoldTrail for brokerage governance and conditional agent privacy. These picks remain subject to founder review. Neither is a verified cost or conversion winner; buy only after the written quote and workflow demo resolve your specific operating requirements.

Prices verified: CINC (2026-09-20), kvCORE (2026-09-20)

Is kvCORE the same as BoldTrail?

BoldTrail retains kvCORE's CRM and IDX foundation while adding interface changes and broader modules, according to Inside Real Estate's April 2026 explanation. Existing brokerage deployments can have different entitlements. Compare the current BoldTrail proposal with the features your brokerage actually supplies.

Which CINC package fits a five-person real estate team?

A five-user CINC team needs Pro, which supports up to 49 users. Ramp stops at four users, Solo covers one user and Select serves organizations with 50 or more users. These limits were checked on October 14, 2026. Ask whether an administrator or inside sales agent consumes another user allowance.

Is CINC cheaper than BoldTrail for a solo agent or five-person team?

No public all-in price establishes a cheaper platform as of October 14, 2026. CINC Solo and Pro require quotes, as do BoldTrail BASE, PLUS and PRO. Compare written proposals covering the same users, MLS feeds, advertising, implementation, communications and optional services. Brokerage-provided BoldTrail access may reduce an agent's personal bill but is not a vendor free plan.

Do CINC and BoldTrail both include IDX websites and lead routing?

Both CINC and BoldTrail market integrated IDX websites and configurable lead routing. CINC documents agent allocation controls such as caps and availability; BoldTrail documents company, office and team routing scopes. Confirm your MLS, included sites and rule precedence in a demo using your own lead-assignment cases.

Is AI included in CINC and BoldTrail?

CINC lists conversational CINC AI as an optional add-on starting at $200/month and a three-line dialer add-on at $75/month, checked October 14, 2026. BoldTrail BASE includes an AI-powered Smart CRM. That inclusion does not establish that every conversational AI, concierge service or usage charge is covered. Confirm each quoted service and its licensing basis before comparing totals.

Can agents keep personal contacts private in BoldTrail or CINC?

BoldTrail permits privacy for agent-owned contacts only when the brokerage enables lead privacy and duplication. Company-assigned leads remain visible to the relevant administrators. CINC documents broker-controlled permissions for lead visibility, reassignment and exports. Neither platform's in-app settings alone establish an agent's right to take a complete database when leaving a brokerage.

Can I export my contacts when I leave either platform?

Confirm export rights separately from contact ownership and viewing permissions. CINC makes exporting a broker-controlled permission. Inside Real Estate's standard terms require data-retrieval requests within 30 days after termination, payment of outstanding fees and retrieval limited to data it defines as exportable; costs may apply. Request a sample export and written departure terms before buying.

Can I keep Follow Up Boss while using CINC or BoldTrail?

CINC lists a Follow Up Boss connection through API Nation, a third-party connector. Confirm transfer direction, supported fields, duplicate handling and separate fees rather than assuming native full-record synchronization. BoldTrail has a marketplace and Zapier guidance, but the reviewed sources do not establish the exact Follow Up Boss connection you need. Require a demonstration before keeping two CRMs.

Are CINC and BoldTrail month-to-month contracts?

Initial commitments come from the signed agreements. CINC's September 2026 terms default to month-to-month renewal after the initial term unless the order form says otherwise, with cancellation timing and remaining-fee obligations. Inside Real Estate's standard terms use 12-month renewals and require 30 days' written notice. Monthly billing does not mean either initial contract can be cancelled at any time.
